Make sure to go thoroughly through our terms & conditions before signing any agreement. All of our privacy and policies are transparent, and we do not involve any hidden clauses.

All bookings are based on the following Terms & Conditions between you and High Spirit Adventure.

Booking any of our offered services like trekking, hiking, tour, etc will bound you with our terms & conditions. Below, you can learn about our booking procedures, booking confirmation, payment, refund policy, cancellation policy, and other things in terms & conditions.

While booking any trip with us, you will be agreeing to be bound with our terms & conditions.

Payment Process

We accept deposits through bank transfer or by Credit Card/Debit Card (Visa, American Express, MasterCard, Union Pay, and JCP).

(1) Payment by Credit Card and Debit Card (Visa, American Express, MasterCard, Union Pay, and JCP):

You have to complete the form (available on the site or click on this link to download the PDF version) with all the necessary details before paying through Credit Card or Debit Card. The form asks to include information like your credit card details, signature (same as in your passport or credit card), etc.

After completing the form send it to us through email. il. Likewise, if you are paying the deposit by Credit Card, it will be charged by ABC Bank on behalf of High Spirit Adventure.

*Note - You will be charged an extra 4% when you make the payment with a Credit Card.

There can be delays or losses during the transfer process, which is totally out of our hands. In that case, High Spirit Adventure will not be responsible for any compensation. Also, if the money received by us is less than the amount sent because of the mediator bank or any other reasons, you are requested to pay accordingly after you arrive in Kathmandu so that the total amount gets equivalent to the package cost.

After transferring the deposit, send us the bank reference number or remittance slip through e-mail for a confirmation. Sometimes the bank forwards the money with a changed name; if we have reference number/remittance slips and sender details, it will be easy for us to check.

(3) Final Payment/Acceptance of Booking/Client details:

The final payment is done after you arrive in Nepal and before the beginning of the booked trip. Again, you can pay the rest of the amount by cash, bank transfer, or Credit Card/Debit Card (Visa, American Express, MasterCard, Union Pay, and JCP).

*Note - You will be charged 4% extra when the payment is made by any of the cards

Booking Policy

Booking any trip at least three months before the commencement of the journey is advised to all of our future guests. This will help to ensure the maximum safety and satisfaction of the client. Also, let you and we have ample time to arrange all the necessary documents for the trip.

Below is the term of payment:-

i. You have to 30% of the total cost of the package for advance payment to confirm the booking

ii. Before 20 days of the starting date of the trip, you have to pay 40% of the payment

iii. Rest 30% of the package cost can be paid upon arrival in Nepal

Documents for Booking

The following documents are needed to submit during the time of booking. These documents are used to get the necessary permits for the trip.

i. Scanned copy of your Passport

ii. Passport size photo in jpeg format (proper for printing)

*Note:

  • In case of failure of on-time payment, High Spirit Adventure will not be enforced to provide the services as per the booking and agreement between us.
  • We might take a last-minute booking in some cases i.e. 15 days before the trip departure date. For that, you have to pay the full payment of the package for confirmation of the trip.

Amendments

If you wish to make any changes in the booked trip, please inform us at least two weeks prior to the beginning of the journey so that we can arrange everything. The changes have to be submitted in the written form. If any government permits, flight ticket, insurance has been issued and cannot be revoked & refunded, you will be liable for these costs. You may also be liable for the cancellation of airfares purchased on your behalf.

Cancellation Policy

If cancellation is done by the Client:

The cancellation made by a Client must be made in a written form and approved by the Company for the confirmation. The date on which the request to cancel is received by the Company or its Representatives will decide the applicable cancellation charge.

The cancellation charges are executed hereafter as a percentage of the total tour price:

i. If cancellation is done before 40 days or more from the date of departure: 15% of full payment will be deducted

ii. If cancellation is done before 20 days from the date of departure: 50% of full payment will be deducted

iii. If cancellation is done less than 7 days before the date of departure: 80% of full payment will be deducted

The Client is strongly advised to take out cancellation insurance at the time of making the booking.

*Note - If you are leaving the trip (because of any reason) after the journey has begun, the company will be reliable for any refund. Likewise, you will not get a refund for any unused services like transport, accommodation, meals, sightseeing, etc.

If cancellation is done by the Company:

The Company reserves the right to cancel any trip you booked including a guaranteed trip, prior to departure due to any reasons beyond its control (i.e. natural disasters, flight cancellation, political instability, sickness, quarantine, industrial action, wars, protests, government intervention, weather conditions, or other untoward occurrences). In such a case, High Spirit Adventure will refund the trip price only. If The Company cancels a departure, which is confirmed to run, then you will get a refund of the trip price. You can also take an alternative trip of the same value.

* Note - Significant alterations do not include a change of airline carrier, flight time tables or itineraries provided for the departure, and arrival dates remain unchanged. Likewise, the substitution of a vessel, modification of itineraries, and change in cabin category or hotel accommodation are of the same category.

The Company is not liable for any subsidiary expenses or consequential damages that the Client may have incurred as a result of the booking (such as visas, vaccinations, non-refundable flights or train, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.)

Passport & Visa

Your passport must be valid for at least six months from the return date. Similarly, a Nepalese visa can be obtained from the Nepalese Embassies or Consulate in your country. There is also an option for many nationals of getting the Nepalese visa upon arrival at Kathmandu International Airport. You can check if your country can get a visa on arrival or not. Obtaining your visa is entirely your responsibility.

Full and correct passport information is required when a booking is submitted to us so that we can obtain the necessary permits, fees, and tickets on your behalf. If you do not provide the correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

Health & Fitness Requirement

All of our packages need a certain level of physical fitness. To participate in Hiking, Trekking, etc, you need to be in good health and shape. You can check our package information to know about the required level of fitness and experience. We do offer pre-departure fitness instruction to help you get ready for the journey. Our instruction includes all the guides to increase your stamina, confidence, and muscle power for the trip. If you suffer from severe muscular, chest, heart, or bronchial disorders, or if you are a severe asthmatic, you are strongly advised to let us know before the beginning of the trip, so that we can see if the trip suits you or not.

Most of our adventurous trips lead to the remote Himalayan areas where there is no access to medical and hospital services. In the worst case, you get air evacuated. Evacuation, where necessary, can be prolonged, difficult, and expensive. Medical and evacuation expenses will be your responsibility, and therefore we require travel and medical insurance to cover air transfer evacuation and hospitalization expenses. We reserve the authority to refuse any person right to participate in a trip on medical or fitness grounds. If in doubt, we may be able to design a custom adventure not detrimental to your health.

Travel Insurance

It is mandatory to have travel insurance to join any adventurous trip in the Himalayas. Your travel insurance must cover things like medical emergencies, illness, loss of personal baggage, personal items, accidents, death, and trip cancellation. All costs for Emergency Evacuation must be paid in cash in Nepal unless an insurance company has agreed to pay all the cost on your behalf. Make sure that your travel insurance covers activities in the Himalayas if you are participating in them.

*Note: Foreigners will not be able to purchase an insurance policy in Nepal. Therefore, it is important to purchase a travel insurance policy in your own country, and it is your responsibility to check whether your insurance policy is adequate or not.

Children

If you are someone under the age of 16, then you must be accompanied by a legal guardian. If you have a question regarding age and suitability, please contact us for further information.

Publicity of Image and videos

While signing the agreement, you agree that High Spirit Adventure may use images and videos taken by you during the trip without compensating you. The photographs and video only be used for publicity and promotion purposes through whatever medium.

Tour/Trek leader’s rights of Authority

Once your booking is confirmed, it signifies your agreement to abide by the authority of the leader, who represents High Spirit Adventure .

The decision of the leader as to the conduct, itinerary, and objectives of the tour/trek is final. If in the opinion of the leader, your behavior or physical condition is detrimental to the safety, welfare, and well-being of the group as a whole (which are dominant considerations), or if the leader considers your general wellbeing will be put at risk by continuing with the holiday, you may be asked to leave the tour without the right to any refund for unused services. Your acceptance of the tour leader’s decisions, which could affect the group or individuals is vital for your safety and overall good welfare. The appointed tour/trek leader for your journey will give you a complete briefing on your arrival about your journey with us.

Complaints

If you have any complaints regarding the trip, you can inform your trip leader on the field. He will provide all possible assistance to meet your needs. If there is anything that you can not say to the team leader, you can write to us within 15 days of trip completion. We will make sure to take your criticisms and improve ourselves.

Privacy

As part of the booking and permit process, we will need to obtain personal information from all of our clients. Your personal information will be securely kept by us, and none of your private or personal information will be disclosed for any other purpose.

Authority

Your booking is accepted on the mutual understanding that you realize and accept the risks and hurdles potentially involved in adventure holidays and that you are mentally and physically preconditioned in undertaking your chosen trip. You are responsible for bringing with you the proper clothing and equipment, which we advise you in our printed trip information and pre-departure information packs before you begin any adventure with us.

This agreement, the rights, and obligations of the parties will be construed and take effect in accordance with and be governed by the laws of Nepal and the Nepal Tourism Association.
